Privacy notice
This page explains, in plain language, what CollabNorth collects, why, and how long we keep it. CollabNorth is an Axrategy product currently in Early Access, so functionality may change.
What we collect
Account and business information. When you sign up we collect your name, email, and the business details you enter during onboarding — business type, tax status, address, contact email, and payment preferences.
Customer and invoice information you enter. Anything you type into CollabNorth about your customers (name, contact, addresses, tax numbers) and the line items, totals, notes, and payment history on your invoices, estimates, credit notes, and receipts.
Authentication data. You sign in with an email address and password. We store a salted hash of your password — never the plaintext.
Stripe billing data. When you subscribe to a paid plan, Stripe collects and processes your payment information on its own servers. CollabNorth stores only the Stripe customer id, subscription id, plan status, and billing history returned by Stripe webhooks. We never store full card numbers or CVCs.
Email delivery. If you send an invoice or receipt from CollabNorth we route the email through our transactional email provider. The recipient address, subject, delivery status, and error responses are logged so we can investigate delivery issues.
File and document storage. Uploaded logos, invoice attachments, and generated PDF documents are stored in private, access-controlled buckets. Only authenticated members of the business (and links you explicitly share) can retrieve them.
Operational logs and security records. We keep short-lived server logs (request timing, error stacks), authentication events (sign-ins, MFA changes), and rate-limit counters so we can detect abuse and diagnose problems.
Why we process it
- To provide the invoicing service you signed up for.
- To calculate Canadian sales taxes on your customer invoices.
- To send emails you initiate (invoices, receipts, reminders).
- To bill you for paid plans through Stripe.
- To secure the service, prevent abuse, and diagnose bugs.
What we do not do
- We do not store full credit card numbers or CVC codes.
- We do not sell your data or your customers' data.
- We do not use your invoice content to train third-party AI models.
Retention and deletion
You can delete customers, invoices, and other records inside the app. For financial integrity reasons, issued invoices, credit notes, and receipts are immutable — we preserve historical snapshots even after you delete surrounding data. If you want your account fully closed and your business data removed, email hello@collabnorth.ca from the account owner's email address and we will confirm and process the deletion. We may retain minimal records required to comply with tax or fraud-prevention obligations.
Your responsibilities for customer information
You are responsible for having the authority to enter your customers' personal information into CollabNorth and for handling that information in line with the privacy laws that apply to your business (for example PIPEDA in Canada, or Quebec's Law 25). CollabNorth acts as a service provider on your behalf for that data.
Early Access disclaimer
CollabNorth is currently offered as Early Access software. Features, storage locations, and integrations may change as we improve the product. We will update this page and, when the change is material, ask you to acknowledge the new version.
