Record sales without an invoice

Cash, card terminal, e-Transfer and platform sales you didn't invoice still count. Record them so your GST/HST return and T2125 include them.

Not every sale gets an invoice. A day at the market, sales on a card terminal, an e-Transfer from a walk-in customer, or a weekly payout from Etsy, Shopify or a ride-share app are all business income. CRA wants all of it on your return.

Record a sale

Go to Money in, then Other sales, and tap Record a sale. You can also use New and Record a sale.

  1. Pick the date and how the money came in.
  2. Say what it was, like "Saturday market, cash".
  3. Enter the amount. If you're registered for GST/HST, enter the total you received and CollabNorth splits out the tax at your province's rate. Switch to Before tax and GST/HST to type both amounts yourself.

One entry can cover a whole day or a whole payout. You don't need one per customer.

Platform payouts

A payout is usually your sales minus the platform's fees. Record the sales before fees here, and the fees as an expense. Then your income and your costs are both right.

Only count GST/HST you collected yourself. Some platforms charge GST/HST to the buyer and send it to CRA for you. If yours does, leave GST/HST at zero for those sales.

From your bank statement

When you import a bank CSV, a deposit that doesn't match an invoice can be recorded as a sale with one tap. The date, description and amount are filled in for you.

Where it shows up

  • GST/HST worksheet: line 101 (sales) and line 103 (GST/HST collected).
  • T2125: line 3A, gross sales.
  • Reports: sales, profit and loss, and the CSV export.
  • Home: money in for the month, and what to set aside for tax.
  • $30,000 check: other sales count toward the small supplier limit.

Once you mark a GST/HST period as filed, sales dated in it are locked. Reopen the period on Tax time to change one.
